Many clinics spend on marketing but cannot say which channel brought which enquiry. The fix is not expensive software. It is a simple tracking setup plus a habit at the front desk.
Why tracking matters
Without tracking, you may keep paying for ads that bring clicks but no patients, or stop something that quietly works. Tracking lets you compare channels on cost per enquiry and per appointment.
1. Install Google Analytics 4
Create a GA4 property, add its tag to every page of your website and confirm that visits appear in the Realtime report. Then mark important actions as key events.
2. Track the three enquiry actions
- Phone clicks: track clicks on telephone links, which matters most on mobile.
- WhatsApp clicks: track clicks on your WhatsApp button or link.
- Form submissions: track completed forms, and make sure each submission is also saved or emailed to you, not only sent to WhatsApp.
If a form only opens WhatsApp, you lose the enquiry whenever the visitor does not press send. Saving the lead on your server or in a sheet avoids that.
3. Record the source of every lead
Add UTM tags to ad links, for example utm_source=google and utm_campaign=knee-pain, so you can see which campaign sent each visitor. Store these with each form lead. Also ask every new caller or patient “How did you find us?” and note it in your register.
4. Handle phone calls honestly
Click tracking shows who tapped the number, not who actually called. Use call logs, and if you need more detail consider a call tracking service. Whatever you use, tell callers if calls are recorded, and protect patient privacy.
5. Review weekly, and close the loop
Once a week, list new enquiries, their source and whether they became appointments. Share this with your marketing team so ad spend follows real patients, not clicks. Our lead tracking and follow-up service can set this up for you.
Frequently asked questions
Not at the start. A direct GA4 tag with a few events can work well for a small clinic. Tag Manager helps once you add multiple ad platforms and events.
You can track clicks on the WhatsApp button. Conversation outcomes need your team to note whether the enquiry became an appointment.
They count differently, use different attribution rules and can miss some users. Use them as directional signals, and confirm with your appointment register.
