WhatsApp Follow-Up for Clinics: A Day 0–7 Message Plan

A simple WhatsApp follow-up plan for clinics: message ideas for Day 0 to Day 7, consent, privacy and how to track which enquiries become appointments.

Most clinic enquiries do not turn into appointments because of a slow or missing reply, not because the treatment is wrong. In India, patients expect to talk on WhatsApp. A simple, polite follow-up plan can recover enquiries that would otherwise be lost. Here is a Day 0 to Day 7 structure you can adapt, along with the privacy and consent points to respect.

1. Set up the basics first

  • Use WhatsApp Business. The free Business app lets you add a profile, address, working hours, a greeting message, an away message and quick replies.
  • Have one owner. Decide who answers enquiries and who covers when they are off. Unanswered messages are the most common leak.
  • Use labels. Mark chats as New, Contacted, Appointment booked, Visited, or Not now.

For higher volume, the WhatsApp Business Platform (API) with approved templates and a CRM can automate parts of this. Our WhatsApp marketing and CRM automation pages explain when it makes sense. Start simple.

Only message people who contacted you or agreed to hear from you, for example by submitting a form or messaging first. Say clearly what you will send, and stop when they ask. Do not collect or send sensitive medical details over general chat, and do not add patients to groups. Keep reports, prescriptions and diagnoses for secure channels your clinic already uses. Rules and platform policies change, so check the current WhatsApp Business policy and India's data protection requirements for your clinic.

3. Day 0: reply within minutes, not hours

The first message sets the tone. It should thank the person, confirm you received the enquiry, answer the question if you can, and offer a next step. Example you can adapt:

"Hello [Name], thank you for contacting [Clinic Name]. We have received your message about [service]. Our team can book you with [Doctor / team] on [days]. Would you prefer morning or evening? You can also call us on [number]."

If your clinic is closed, an automatic away message that gives the opening time and says someone will reply then is better than silence.

4. Day 1: help with the next step

If there is no response, send one gentle message that makes booking easy.

"Hello [Name], just checking if you would like help booking a visit for [service]. We have slots on [day] and [day]. Reply with a time that suits you, or tell us if you have any questions."

5. Day 3: share something useful

Instead of repeating the same request, share useful information. This could be clinic address and Google Maps link, parking and timings, or a short, non-promotional note on what to expect at a first visit. Avoid medical claims and promises of results.

6. Day 7: close politely

"Hello [Name], we will close this enquiry for now so we do not disturb you. If you would like to book later, just message us here. Wishing you good health."

Do not keep chasing after this. A polite close protects your reputation, and some people come back months later because you were respectful.

7. After the appointment

For people who visited, send a short thank-you the same day or next day, and, where appropriate, a reminder for their follow-up visit as advised by the doctor. A review request can come a few days later: ask once, politely, with the Google review link, and never offer gifts or discounts in exchange, which Google's policies do not allow. See the Google Business Profile checklist for clinics for review tips.

8. Practical tips

  • Save the five or six messages above as quick replies so your team can send them in seconds, and personalise the name and service.
  • Write like a person. Short sentences, one question per message, no all-capital text.
  • Use the patient's language. Many Hyderabad clinics reply in English, Telugu or Hindi depending on how the patient writes.
  • Keep working hours honest. Do not promise 24/7 replies if you cannot deliver.

9. Mistakes to avoid

A few habits quietly hurt clinics. Sending the same long promotional message to everyone feels like spam and may lead people to block or report your number, which can put your WhatsApp account at risk. Replying only in the evening, when patients wrote in the morning, loses enquiries to clinics that answer sooner. Letting several staff members reply in different styles makes the clinic look disorganised, so agree on a friendly tone and a short list of approved quick replies. Promising specific treatment outcomes or prices before the doctor has seen the patient creates problems later. Finally, forgetting to record the result means you cannot tell which follow-up message works. A simple column in your register for "booked", "visited" or "not now" is enough to improve the plan over a few weeks.

10. Measure what happens

Each week, count new enquiries, how many got a reply within your target time, how many booked and how many visited. Compare by source: Google Ads, Maps, website form, referral. The guide to tracking clinic enquiries shows how to connect website actions to your register. If you run ads, the same data tells you whether to change the ad or fix the follow-up; our Google Ads guide for dental clinics gives an example of this thinking.

Frequently asked questions

Only to people who have contacted you or agreed to receive messages, and in line with WhatsApp's business policy and applicable Indian law. Keep messages relevant, allow people to opt out and avoid sending sensitive health information.

Most single clinics can start with the free WhatsApp Business app. The API with approved templates suits larger clinics or hospitals with higher volumes and a CRM.

For a cold enquiry, two to four polite messages over a week is usually enough. Stop immediately if the person asks you to.

Treat health information as sensitive. Use the secure channels your clinic already follows, and share only what the patient has asked for, in line with your professional and legal obligations.
