A single clinic needs one well-kept Google Business Profile. A hospital group or clinic chain with branches across Hyderabad can easily end up with dozens: one per branch, some for departments, some for doctors, and a few duplicates nobody remembers creating. When those profiles are inconsistent, patients call the wrong branch, see wrong timings or find closed locations. This guide explains how to bring order to Google Business Profiles across multiple locations.
1. Start with an audit of what exists
Before changing anything, find every profile connected to your organisation. Search Google Maps for your brand name, each branch area, your main phone numbers and the names of senior doctors. Record each profile in a sheet: name, address, phone, category, owner or manager access, verification status, rating and number of reviews. You will often find duplicates, profiles created by former staff or agencies, and listings for branches that have moved. Our local SEO team usually begins every hospital project with this inventory.
2. Take control of ownership and access
Use an organisation-owned Google account, not a staff member's personal email, as the primary owner of all profiles. Add managers by role, and remove people who have left. For groups with many locations, Google Business Profile lets you organise profiles into groups and, for businesses with ten or more locations, request bulk verification. Check Google's current requirements before applying.
3. Decide the structure: branches, departments and doctors
Google's guidelines allow different types of listings, each with rules:
- Branch (location) profiles: one per physical location where patients are seen during stated hours.
- Department profiles: Google allows some departments within hospitals to be listed separately, typically when they have their own name, category and contact details, for example an emergency department or a diagnostic centre with separate hours. Do not create a department listing for every specialty just to appear in more searches.
- Practitioner profiles: individual doctors who see patients can have their own profiles under Google's rules for practitioners. Decide centrally whether your hospital will manage these, so you avoid duplicates and outdated doctor details.
Read Google's current guidelines before you create or merge listings. Getting the structure right early prevents years of cleanup.
4. Keep names and details consistent
Use one naming pattern, such as "Brand Name Hospital, Area", only where that matches signage and how the location is known. Avoid adding keywords like "best multispeciality hospital" to profile names. Keep the address format, phone numbers and website links consistent, and link each branch profile to its own branch page on your website, not the home page. Our guide on local SEO for clinics in Hyderabad explains why consistent details matter.
5. Build a strong page for each branch
Each branch page should include the full address with a map, landmarks, parking details, phone and WhatsApp numbers, OPD and emergency timings, departments and doctors available at that branch, and accepted insurance or cashless arrangements if you can keep them up to date. Add LocalBusiness or Hospital structured data with the same details. These pages help patients choose the right branch and give Google consistent information to trust. See our hospital digital marketing page for how this fits into wider campaigns.
6. Categories, services and photos per location
Choose a primary category that fits each location, such as Hospital, Medical clinic or Diagnostic center, and add services for what that branch actually offers. A branch without a cath lab should not list cardiac procedures that happen elsewhere. Upload photos specific to each branch: building, entrance, reception and key facilities, so patients recognise the place when they arrive.
7. Reviews across many branches
Ratings often differ widely between branches. Set up a single process: a review link per branch shared after discharge or consultation, a named person responsible for replies, and response templates that are polite and never reveal medical details. Escalate serious complaints offline to the right department. Never ask staff, vendors or agencies to post reviews. Track rating and review count per branch monthly to spot problems early.
8. Keep hours and changes up to date
Hospitals change often: new departments, doctors joining or leaving, revised OPD timings, festival holidays. Assign one owner for each branch profile and a monthly check. Update holiday hours in advance. When a branch closes or moves, mark the old profile correctly instead of leaving it active with wrong details.
9. Report by branch
Use Google Business Profile performance data, such as calls, direction requests and website clicks, per branch, and add UTM parameters to each website link so you can see branch traffic in Google Analytics. Combine this with your call centre or front-desk records to understand which branches attract enquiries from Maps. Our guide to tracking clinic enquiries covers the basics.
10. Monthly checklist
- Search for new duplicates or unauthorised edits on each profile.
- Check hours, phone numbers and doctor lists per branch.
- Reply to all new reviews and answer new questions.
- Add at least one fresh photo or post per active branch.
- Record calls, directions and website clicks per branch.
For single-location clinics, our Google Business Profile checklist is a simpler starting point.
Frequently asked questions
Not automatically. Google allows some departments to be listed separately when they have distinct names, categories and contact details. Creating listings for every specialty only to appear in more searches goes against the guidelines.
Google allows practitioner profiles for publicly facing professionals. Decide a central policy, keep details current and remove or update profiles when doctors leave.
Claim the duplicate if possible and follow Google's process to mark it as a duplicate or closed. Use the support options in Google Business Profile if you cannot claim it.
Google offers bulk verification for businesses with ten or more locations. Smaller groups verify each location individually. Check current eligibility rules before applying.
Use the performance report for each profile, add UTM tags to profile website links, and compare with call and front-desk records for each branch.
